Version 2015-05-12 Quick-guide to Min ansökan Before filling in the application To be able to fill in an application you need to create a user account (instructions on p. 3). If you have already created an account and you intend to fill in several applications for the same organization, you can fill in the organization details under Mina uppgifter (My infomration). This information will be automatically transferred to each new application. When filling in the application The application form of the Botnia-Atlantica programme can be reached through (if you are not using the link on the Botnia-Atlantica webpage): EU-medel -> Europeiskt territoriellt samarbete -> Botnia-Atlantica -> Val av insatsområde (EU-financing > European territorial cooperation > Botnia-Atlantica > Choice of theme) The application form consists of nine sections. You can reach the instructions by clicking the information button (i) in each section. Before submitting the application A submitted application should be complete (including attachments). Supplements can only be sent by email or by mail after submitting the application. The system performs a check/validation before the application is sent. The system will notify if compulsory information is missing or if the application contains information in invalid form.

Min ansökan Front page If you are using the link on the Botnia-Atlantica webpage, you will be directed directly to the section Skapa en ny ansökan (Create a new application) where you can choose the theme. Choose Gå vidare till inloggning (Proceed to login).

Min ansökan Register user account To register a user account, choose Registrera konto (Register account). The information of the user account can be shared between serveral users if needed. If you have already registered an account and wish to log in, fill in Användarnamn (user name) ja Lösenord (password). E-legitimation (electronic identification) is possible only for Swedish applicants.

Min ansökan Create a new application You can reach the application form of the Botnia-Atlantica programme from (or using the link on the webpage): EU-medel > Europeiskt territoriellt samarbete > Botnia-Atlantica > Val av insatsområde (EU-financing > European territorial cooperation > Botnia-Atlantica > Choice of theme)

Min ansökan General information The section Allmänna uppgifter (General information) contains basic information about the project. You can save information you have filled in or download a PDF-version of the application by choosing Spara (Save) or Visa ansökan som PDF (Download PDF).

Min ansökan Applicant The section Stödsökande (Applicant) contains information about the lead partner.

Min ansökan Fellow applicant The section Medsökande (Fellow applicant) contains information about the other project partners. Choose Lägg till (Add) to add information about the fellow applicants. NB! Remember to fill in all applicants. NB! All information concerning a specific fellow applicant needs to be filled in at once to be able to save the information.

Min ansökan Norwegian partner The section Norsk partner (Norwegian partner) includes information about possible Norwegian project partners. Click Lägg till (Add) to include a partner. NB! Remember to include all Norwegian partners. NB! All information concerning a specific partner needs to be filled in at once to be able to save the information.

Min ansökan Project description The text fields in the section Projektbeskrivning (Project description) can include up to 4000 characters. Please note that it is important to give a clear and concise description of the project.

Min ansökan Time and activity plan The section Tid- och aktivitetsplan (Time and activity plan) contains the work packages of the project. In addition to the work packages Projektledning (Project Management) and Kommunikation (Communication) the project should be divided into about 3-5 work packages. Choose Lägg till (Add) to add work packages. All information concerning the work packge should be filled in (all fields). The fields Beskrivning (Description) can include up to 4000 characters.

Min ansökan EU-budget The section Budget (Budget) contains the EU-budget of the project. In the column Kostnader (Costs) the budgeted costs for each cost category can be added by cliking on the arrow (>). In the column Medfinansiering (Co-financing) the name of the finansier and amount of co-financing can be added by clicking on the arrow (>).

Min ansökan EU-budget (cont.) In the section EU-budget questions about project income after project ending and project activities outside the programme area are asked.

Min ansökan Norwegian budget If the project has Norwegian partners, the budget of those partners should be included in this section.

Min ansökan - Attachments When adding attachments remember to first click Välj (Choose) and then Bifoga (Attach). Acceptable formats: *.pdf, *.txt, *.doc, *.docx, *.xls, *.xlsx, *.ppt, *.pptx, *.rtf, *.tif, *.tiff, *.svg, *.jpg, *.jpeg (all files except Excel- files will automatically be converted to PDF). NB! The combined size of the attachments cannot exceed 10 Mb. Encrypted files cannot be sent.

Min ansökan Check the application Would you like to know what is still missing in your application? You can check the application at any time by choosing Kontrollera, signera och skicka (Check, sign and submit). The system informs about missing information or if information is included in invalid form (the concerned sections are marked in red) NB! Remember to choose Avbryt och gå tillbaka till din ansökan (Quit and return to application) to avoid submitting an incomplete application.

Min ansökan Submit application A submitted application should be complete (including attachments). Supplements can only be sent by email or by mail after submitting the application. Is your application including attachments ready to be submitted? Choose Kontrollera, signera och skicka (Check, sign and submit). To submit your application, choose Skicka din ansökan och signera manuellt (Send application and sign manually).

Min ansökan Printing the application When the application has been submitted, an authorized representative of the lead partner should sign the confirmation letter. The confirmation letter is available only after the application has been submitted and can be printed out from Mina ansökningar > Visa som PDF (My applications > Download PDF).
